This step-by-step guide will walk you through the process of setting up a Senior Buyer Agent account, which will allow you to fund multiple prepaid Buyer accounts. This is particularly useful when a Buyer has a large number of Buyer Agents.
1. First, let’s view how to create an account with a Sr. Buyer Agent system role. To do so, go to the System Users > Employees section. Click the “Create New User” button.
In the “Create New User” pop-up window, fill in the following fields:
- Email: Enter the email address of the new user. This will be the username for their login.
- Nickname: Enter the nickname for the new user.
- Groups: Select the “Buyer Agent” and “Buyer Analyst” groups and then check the "Buyer Agent Senior" checkbox.
- Status: Set the user’s status to “Active”.
- New password: Enter the password for the new user. Be sure to write this down as you will need to provide it to your user.
- Repeat password: Re-enter the password for the new user.
- First name: Enter the first name of the new user.
- Last name: Enter the last name of the new user.
- Click the “Advanced Settings” button to manage additional settings.
- Expiration Date: You can set the expiration date for this user or leave it by default as "Never".
- Available products: You can limit the access of the user to the specific Product(s) according to your preference.
- Available components: You can limit the access of the user to the specific component(s) according to your preference.
Click on “Add” to complete the process.
In the “Add New Record” pop-up window fill in the following information:
- Name: Enter a name for the Buyer.
- Status: Set the “enabled” status.
- Personal manager: Select the user with the Buyer Agent Senior role that you have created in the previous step.
- Label: Select the preferable label.
- Type: Select the Buyer type.
Click on “Add” to continue.
Click the “Configure” button.
3. To enable the Prepaid Buyer Option for this particular Buyer, go to the “Accounting Settings” tab and select the “Yes” option in the “Prepaid Buyer” field. Then click the “Save” button. You can read more about the Prepaid Buyer feature in this Knowledge Base article.
4. Now let’s create a user that will serve as a Buyer Representative in the system. Go to the “Users” tab and click the “Create New User” tab.
Fill in the following fields in the “Add New” pop-up window:
- Email: Enter the email address of the new user.
- Nickname: Enter the nickname for the new user.
- New Password: Enter the password for the new user.
- Repeat password: Repeat the password for the new user.
- First Name: Enter the first name of the new user.
- Last Name: Enter the last name of the new user.
- Limited Reports Access: Select the user's access level to the “All reports” section:
- Disabled: Disabled Limited Reports Access status allows users to see the Performance Summary report and the Lead Details report. Read more about the Performance Summary report in this Knowledge Base article.
- Enabled: Enabled Limited Reports Access status limits users to see only the Lead Details report in the All Reports section. Read more about the Lead Details Report in this Knowledge Base article.
Click the “Add” button to confirm.
Once the user is created, click the “Permissions” button in the “Action” column.
In the “Groups” field, assign the “Buyer Editor” group to the user and click the “OK” button. This will allow the Buyer Representative user to add funds to this Buyer.
5. Once the Senior Buyer Agent logs in, they must go to the System Users > Buyer Settings > Buyer Representative section to super login as a Buyer Representative we have created (step 4) and add funds as a pre-paid Buyer via the Dashboard.
All these steps can be performed for multiple Buyers, allowing the user with the Buyer Agent Senior role to update funds as necessary for multiple accounts.
